  • NOTE: As of 1 July, this page has been made read only by the admins of the site, and pages are not viewable to people who do not have a Wiki registration to the site - obviously frustrating and confusing. Kathy Reid is working with him on getting a new page set up at http://wiki.softwarefreedomday.org/2010/Oceania/Australia/Melbourne and getting the old site redirected.

Organisers

(note phone numbers omitted as this is a public wiki - can't find a way to lock them down)

Main themes or key issues we would like to promote on the day

  • free access to knowledge, eg. Wikipedia
  • ending software patents
  • digital restrictions management (DRM)
  • non-proprietary public standard formats like OpenDocument
  • licensing to promote sharing and re-use, eg. Creative Commons licensing
  • freedom to modify hardware, eg. Arduino hardware hacking
  • free access to data, eg. OpenStreetMap
  • Worth mentioning Cisco open sourcing Telepresence Interoperability Protocol?

Main areas of organisation

Resources available from previous years

The resources available from previous years are;

  • Approx 20 blue SFD balloons, approx 50 red SFD balloons, approx 50 yellow SFD balloons
  • 286 x 2009 Open Discs (windows only, no Mac discs left)
  • 1000 approx Open Discs from 2008 (windows only, a Mac disc was not produced in 2008)

T-shirts

Re-use where possible to keep costs down and be more sustainable - list of who has what t-shirts from previous SFD events is here: http://wiki.cc.com.au/SFD10/tshirts

Speakers and workshops

Idea: have a speaker invite flyer done in Inkscape to invite speakers / make them feel special

List of speakers here: http://wiki.cc.com.au/SFD10/speakers

  • More hands on workshops, the inkscape time was by far the most valuable for me and I'd love to attend more workshops and learn other Linux programs. Perhaps by next year even have basic and advanced workshops - BYO laptops.

Note: that those who have older laptops may not be able to last for the hour or so that the session goes for. A few power boards dotted around the front row would help. Also help out those that that have been hacking all day.

  • Talks: 45 mins per talk with 15 minutes gap.
  • Max speakers = 6
  • Have talks about Android?
  • Space available for Talks/Workshops: 3 plus outside spaces at the State Library.
  • Can have soapbox talks (10 mins each?) outside (to attract people to come in).
  • Content of talks to date - Dale to supply.

Post event report

Doing a post event report is usually a precondition of funding. Last year's event report is here: http://wiki.cc.com.au/SFD09/report

Page for this year's event report is here: http://wiki.cc.com.au/SFD10/report

NOTE: Would also be useful to do a post event report to SFI - good example here: http://archive.softwarefreedomday.org/ChchSfd2 The report to SFI could also contain;

  • frustrations with their website - started too late
  • poor URL
  • getting schwag out is too late - particularly for well organised teams
  • maybe they need a 'SFD kit' - with presentations, grant applications, things to do, things to present on, general ideas

Measuring the success of the event

  • Target audience: Friends of geeks, business, education and possibly councils.
  • Competition / Survey - use a liveCD
  • Exit survey on the day
  • Number of people at the event
  • Number of people who attend a follow up event
  • LUV main & beginners meetings in October promoted for follow up
  • Another measurement could be "would you recommend this event to a friend"?
  • From reading the Wiki page, perhaps one measurement from the survey might be the number of people attending who didn't already have a good grip on the concepts of free software

NOTE: Daniel Jitnah has started putting together a Limewire survey which can be used to seek feedback from participants. This has been included in the grant applications.

Computers on the day

  • key question - hire from Computer bank or supply our own?
    • Dale/Kylie phonecall 9July Computerbank can possibly loan 10 computers, require $50 deposit and time/people to prep
  • List started here: http://wiki.cc.com.au/SFD10/computers of who can provide what

Open Discs and other stuff to provide on the day

  • Do we go DVDs or USB sticks or a mix of both? Contents? What do we charge for?

Decision from 15/5/2010 Organisers Meeting:

  • To distribute a mixture of both DVD/CD and USB sticks.
  • Ratios of each medium to be decided by Marketing group come closer to the event.
  • As the cost of a USB stick (4GB) is much higher than a DVD/CD, its number on the day will depend on the funding/sponsorship we can get.
  • Mixture of both mediums means that we can cater for both situations, namely: older computers can't boot with USB stick, and netbook has no optical drive.
  • Apart from SFD10 logo, can consider putting logos of sponsor on USB stick?
  • DVD/CDs are like flyers, can print promotional & sponsor's logos on them.
  • DVD/CDs can also act as invites - i.e. here's a taste, now come to the event for more.
  • Credit card-size CD was considered but ruled out due to: don't work in many CD drives & inadequate capacity.
  • Consider USB sticks as prizes on the day.
  • Dale thinks she can get some sponsorships for USB sticks.
  • ACTION: Kathy to include USB sticks and discs in funding grant.

Sponsorship

Flyers for different uses of free software

Accountable person: Kathy Reid Wen Lin to translate into Mandarin... resource translators for other languages. Dutch/German/Indonesian/Czech

There are now 6 flyers available - they're on the Dropbox so let Kathy know if you need DropBox access :-)

They've also been uploaded to the global wiki here; http://wiki.softwarefreedomday.org/Resources#Information_Flyers

Graphics and design type stuff

Artwork, graphics and all things LUV-ley - Donna has agreed to take this on, get discs organised six weeks prior to use as invites (if we go discs, having them as invites is a plus for discs IMO)

See SFD10/Artwork

NOTE: Artwork and graphics are on the DropBox - just because they're so big and there's so many different versions

Event Listings

List of user groups (thanks @AlecTheGeek) http://perl.net.au/wiki/Melbourne#User_Groups

(From Ben Sturmfels) Another thought I had was doing some lead-up sessions with year 10-12 IT classes. I don't know about you, but the material we studied was very dry, and I would have loved something like this. I'd be happy to do the leg-work organising and presenting such sessions. What you you think?

Daniel: Good idea, however note: SFD is getting close to end of year (Yr 12 specially). Will be hard pressed to get schools to allocate time for this. But it is a great idea. Worth a try may be in August?

  • Do we want to have a Facebook event?

The following is an initial braindump from Dale (note from KathyReid - edited to remove Chadstone specific stuff)

  • Flyers, flyers, flyers to people leaving the shopping centre and letterboxes
  • Local newspaper interviews
  • Radio - especially SYN (RMIT's student youth network)
  • Podcasters - do some research and organise interviews
  • Websites - list the event in all Melbourne related sites
  • Badge for blogs
  • Posters
  • Partnership with the (venue) to promote the event - do they do a newsletter or have an online presence? Perhaps work with them to get one happening - using Linux of course!
  • Giveaway discs beforehand - use as invitations, download and pass it on, come with questions/issues on the day and get them resolved.
  • Get Kogan there at the event to promote their notebooks and perhaps even give a discount for people who buy online within two weeks - use a promo code.
At 9.5.2010: Kogan do not have any Linux products anymore, and have not had for a while. Although there was news of them releasing a IPad like product, with Linux/Android. So we will have to check with them.
  • Connect with all universities in Melb and utilise their resources to fullon promote the event... newsletters, people at the uni's handing out flyers or discs
  • PC users groups, do they have events where a guest speaker can promote SFD?
  • Any other opportunities for public speaking
  • What about contacting elderly/seniors groups, schools... community groups... people who want to learn to use a computer really easy way?

Activities of interest on the day

  • Geocache: Update as of 6 May 10 (KathyReid): GeoCaching Australia are pretty comfortable with us doing a limited time cache, as long as we explain exactly when it will be available. Will need a hand getting a suitable hidey spot - and would like the SLV's permission to put one on their property for the day. Need to make some decisions around size of cache, what goodies to put in it etc.

Peter Baker to organise - asked if we could provide a prize, T-shirt was suggested... team to confirm at 24July meeting.

Accountabilities

  • Dale - Coordinator, getting volunteers, organise meet/greet people.
  • Ben - Marketing.
  • Kathy/Donna - Artwork/Graphics.
  • Kathy - Grants and Geotagging.
  • Brianna - Organising speakers.
  • George - Workshops (will liaise with Brianna).
  • Rob/Peter - Logistics/power usage, etc.
  • Organising activities on the day - Rob is considering it.
  • Jiri - Pictures/documentation.
  • Dale/Donna - Discs/USB sticks.
  • Wen - Update this SFD10 Wiki.
